Tenant communication and contact details

Keeping tenant records usable, and how tenants receive documents.

Tenant records

Tenants are recorded on the lease that ties them to a unit, with their contact details. That record is what every rent notice, invoice and statement is addressed from, so it is worth keeping current — a phone number that is three tenancies old is the reason a chase call never happens.

Sending documents

The tenancy agreement is generated from the lease, so the document and the record say the same thing. Invoices for service charges, recharged repairs and other amounts are raised under Invoices and sent to the tenant.

Keeping the conversation on the record

Maintenance requests record what was reported, who is handling it, and what it cost. Keeping them updated as work progresses is what lets anyone in the office answer "has someone looked at it yet" without asking a colleague.

Deposits

The deposit held is recorded on the lease. When a tenancy ends, settle it on termination — returned in full, partly withheld for damage or arrears, or withheld entirely. Recording the settlement is what makes a later dispute answerable.

A note on self-service

EstateIQ does not currently provide a separate tenant login where tenants sign in to view their own statements — tenant communication goes out from the system rather than tenants coming in to it.

If a tenant self-service portal would matter to your business, tell us. What customers ask for is what gets built next.

The leases chapter of the EstateIQ manual covers tenancies end to end.
