Closing up
Count the drawer at the end of the day and compare it with what the system expects.
Investigate differences the same day. A small difference found immediately is usually a miscount. The same difference found a month later is unsolvable, because nobody remembers the day.
When the drawer is short
Work through these before assuming the worst:
- A split payment recorded as one method. If a customer paid part cash and part card and it was all recorded as cash, the till will not reconcile.
- A refund given in cash but recorded against card, or the reverse.
- A sale voided after the money was taken.
- A simple miscount — count again first. It is the commonest cause.
Shift Management
The optional Shift Management module adds formal shift open and close, float reconciliation, and per-shift reports — so a difference belongs to a named shift and a named person rather than to the whole day.
Why individual logins matter here
If staff share a login, a shortfall has no owner and the by-employee report cannot attribute what the system was never told. Give each person their own.
Before you shut down
Take a backup, or confirm the automatic one has run. Put it somewhere that is not this PC — a backup on the same machine protects you against mistakes but not against the machine dying, being stolen, or being encrypted.
