Inviting your team and setting roles

Add users, choose what they can see, and understand how roles differ per product.

Inviting someone

Settings → Users → Invite user. Enter their name, email and role. They receive an email, set their own password, and you never handle their password yourself.

Roles

Roles differ by product, but the shape is the same:

  • Organisation admin — everything, including billing and plan changes.
  • Manager — day-to-day operations, no billing.
  • Operational roles — cashier, waiter, kitchen, driver, agent. These see only what their job needs.

Only an organisation admin can change the plan or open the billing portal.

Scoping

In products with multiple locations — shops in POS Cloud, outlets in RestaurantOS, agencies in EstateIQ — a user can be restricted to specific locations. They then see only that location's data.

Removing someone

Deactivate rather than delete. Deactivating blocks sign-in immediately but keeps their history intact, so past sales, approvals and audit entries still show who did what. Deleting a user who has history would leave those records unattributed.

User limits

Each plan caps how many users you can have. The Subscription page shows how many you have used.
