Payroll and salary slips

Running a pay period, approving it, and what it posts to your ledger.

Running a pay period

Payroll produces a pay run containing a payslip per employee. You review the run, approve it, then mark it paid — three separate steps on purpose, because the point at which figures stop being editable should be a decision somebody makes rather than a side effect of opening a screen.

The three states

  • Draft — payslips can still be edited. Adjust an individual payslip here.
  • Approved — the run is agreed and the figures are fixed.
  • Paid — the money has gone out, and the ledger entries are posted.

What it posts

Approving and paying a run writes the ledger entries for you: salary cost to the expense account, and the net amount owed to staff carried as a liability until it is paid. You do not post payroll by hand.

Keeping it defensible

Attendance records are what justify a payslip when somebody disputes it. Record them as the month runs rather than reconstructing them at the end, which is both slower and less convincing.

A note on statutory deductions

Kinxso Accounts handles gross pay, the deductions you define, and net pay. It does not file statutory returns such as EOBI on your behalf — you record the deduction and submit through the relevant authority yourself.

If filing integration matters to your business, tell us. What customers ask for is what gets built next.
